The responsibilities of the Purchasing Assistant in Biology Central Services are as follows:
- This individual handles processing of all order requests.
This requires high degree of accuracy, as the order is the first step
in the process for purchase/receipt/payment and mistakes can cause
damaging delays or halts to research within the department.
A clear understanding of University and State regulations is necessary
to facilitate client needs and to expedite orders through this system.
- In addition, it is imperative to have knowledge of research needs
and recognition of emergency orders. Research needs frequently
require service as soon as possible.
- Effective interpersonal communication between a wide variety of
faculty and staff is very helpful, as this process provides frustration
to many.
- Knowledge of alternate supply sources, or the ability to recommend
a colleague who has materials to cover short term, last-minute needs
is an added boon for this position.
- The following types of documents are processed:
- Purchase Orders
- Transfer Vouchers
- CO-17
- Boise Cascade
- Radiation Safety
- Included in this process is calling contract vendors to verify pricing,
availability and delivery. This position also interacts by fax
for orders from Biology staff at the Stamford campus. This requires
more phone calls for corrections or information on comparing contracts.
- This individual is one of the four Main Office personnel that helps
to handle the incoming telephone calls. Added duties for this
position are proper disposal of outdated material in the storage room.
